Coordination
Role
The role of the Active After-school Communities (AASC) school or Out of School Hours Care Service (sites) coordinator is to work with the regional coordinator to develop a suitable sport or structured physical activity program that meets the needs of their site community and addresses the outcomes of the Active After-school Communities (AASC) program.
AASC outcomes
1. Engage primary school children into structured physical activity
2. Provide opportunities for ongoing participation in organised sport
Responsibilities
Program development

Liaise with the regional coordinator to clarify the program parameters and grant conditions.

Work closely with the local community (parents, all school/OSHCS staff, sporting clubs) to identify needs specific to the site in relation to the AASC program outcomes.

Develop strategies to gain an understanding of what the motivators and inhibitors are for children who are traditionally inactive.

In conjunction with the regional coordinator, devise a structured physical activity program that will engage children, including the completion of an Engaging Children’s Strategy Plan.

Ensure the provision of inclusive activities for participants of all abilities.

Work with regional coordinators to develop a clubs first approach to program development.
Grant procedures
- Complete and submit a grant application by the due date.
- Maintain complete and accurate records detailing the use and expenditure of the grant.
- Complete program feedback form in accordance with grant application guidelines.
- Provide formal and accurate evidence of grant expenditure as required.
Program administration
- Adhere to the AASC Code of Ethics.
- Coordinate registration for participating children.
- At least one staff member must attend a Community Coach Training Program.
- Provide each community coach/supervisor with the relevant site emergency procedures.
- Ensure all community coaches engaged in the delivery of the program are trained and registered as per ASC requirements.
- Ensure adherence to Community Coach Costing Guidelines.
- Book program sessions as required.
Program quality
Provide feedback to the regional coordinator on quality of sessions and program delivery.
Supervision
Role
The role of the AASC Site Supervisor is to assume duty of care for the children participating in the program.
Responsibilities
- Take a roll call of all participating children.
- Provide appropriate active supervision until the completion of each session.
- Assist with coach delivery and maintain involvement in each session.
- Assist with setup of equipment if necessary.
- Provide feedback to the regional coordinator on quality of program delivery.
- Ensure the children are provided with a healthy afternoon tea.
- Report any accidents to the program coordinator.
- Ensure risk management policies are adhered to.
- Ensure child protection policies are adhered to.
- Manage behaviour of participants.
Communication
Site staff should contact their regional coordinator regarding the following
- requests for AASC promotional material
- information and/or assistance with grants/payments/acquittals
- concerns about community coaches and/or the program
- feedback from parents, family or children
- no attendance or inconsistent attendance by a community coach
- program management queries
- media requests regarding the AASC program.
Site staff and community coaches should communicate with each other regarding the following:
- day-to-day operation of the AASC program (number of children participating)
- any issues identified or raised by children in the AASC program
- equipment needs
- emergency procedures
- wet weather policy
- advice on children with special needs (any behavioural issues)
- payment issues.
